Reinsurance Operations Specialist - GRiDSThis is a remote role that can be performed from anywhere within the continental US, with a preference for candidates in the Central, Eastern or Mountain timezones.

About GRiDS & the BEO Team
GRiDS is an internal suite of applications used by Aon's Risk Capital business segment for the end-to-end processing of reinsurance placements. The Business Entity Operations (BEO) team partners with global business units across Aon to create and maintain entities in GRiDS and to ensure that all placements meet internal and external compliance requirements.
What the day will look like
The Reinsurance Operations Specialist is responsible for maintaining accurate and compliant entity data within GRiDS and associated systems. The role combines strong functional knowledge of entity maintenance, an understanding of regulatory and market security requirements, and the ability to support process and system improvements.
The role holder acts as a key point of contact and emerging Subject Matter Expert (SME) for entity structures, client and market codes, and related applications, while also providing reporting, analysis, and operational support to brokers, Finance, Tax, Treasury, and senior stakeholders.
Key Responsibilities
Entity & Data Management
- Understand how changes in Entity Maintenance impact other functional areas and GRiDS applications and raise/resolve issues as appropriate.
- Maintain global entity names, addresses, and related information in Entity Maintenance and the Contact Maintenance System (CMS).
- Perform "new customer" vetting procedures, including money laundering, sanctions, and regulatory checks in accordance with global policies.
- Research new and existing entities that Aon works with and update Entity Maintenance accordingly.
- Create new cedent and reinsurer codes and maintain accurate grouping information for all existing codes.
- Consult with the Tax team, brokers, and advocates to help manage and validate tax-related data within GRiDS.
- Check and approve bank details supplied by the Treasury team in line with global procedures and internal controls.
- Research and maintain global customer structures to support the integrity and consistency of management information.
- Perform placement overrides in accordance with Market Security restrictions, ensuring adherence to all internal and external compliance requirements.
- Research and maintain the financial impairment status of entities and associated client and market codes in GRiDS.
- Analyze and interpret legal entities and global group structures and ensure these are accurately reflected in GRiDS.
Business Expertise, Stakeholder Engagement & SME Role
- Apply significant operational/business experience in the functional area and maintain broad understanding of related business processes.
- Provide practical, consultative advice to brokers, colleagues, and business leaders on best practices for entity, structure, and system usage.
- Develop into a Subject Matter Expert (SME) on GRiDS and related applications, becoming a go-to resource for queries and issue resolution.
- Mentor and support other team members on processes, systems, and business context as needed.
- Work independently, managing time and tasks effectively and following through to completion.
- Adhere to best-practice business processes as directed by Management and Operations and suggest improvements where appropriate.
- Build and maintain effective working relationships with senior colleagues and other experts, communicating clearly both verbally and in writing.
- Assess and solve a broad range of business and functional issues using structured analysis and creative problem-solving.
Operational Leadership (Non-people Manager / Project or Initiative Lead)
- Contribute to regional activities, including supporting day-to-day workload management and operational prioritization.
- Assist with recruitment activities (e.g., interviewing, onboarding support) where required.
- Lead collaboration with relevant working groups or practice meetings in the absence of senior colleagues.
- Support the definition and refinement of team processes and procedures in collaboration with Management and Senior Leaders.
- Participate in and occasionally lead workstreams or smaller projects, including planning, tracking progress, and managing deadlines.
- Provide guidance and informal leadership to team members, delegating tasks where appropriate and supporting their completion.
Development / Systems & Reporting
- Provide ad hoc and recurring management reporting using Excel and SQL, delivering accurate and timely reports to senior management and business units.
- Work closely with IT to support the development, enhancement, and upgrade of GRiDS and other applications used by the BEO team and wider business.
- Challenge existing processes and propose solutions to improve efficiency, control, and data quality.
- Analyze system processes to help improve value and efficiency from GRiDS and related applications.
- Reconcile and compare data between GRiDS and other applications, using findings to update systems and maintain alignment with current compliance and regulatory standards.
- Coordinate, as needed, user acceptance testing (UAT) with the quality assurance team, including preparing test cases, supporting execution, and logging/resolving defects.
Skills and experience that will lead to success
- Bachelor's degree in Business, Finance, Economics, Information Systems, or a related field preferred; equivalent experience considered.
- Relevant certifications in compliance, data management, or operations/process improvement are an advantage but not essential.
- Strong experience in operations, data/entity management, or a similar role within insurance, reinsurance, or financial services.
- Good understanding of legal entity structures and global group structures, ideally within a financial or insurance context.
- Experience with GRiDS or similar client/market/reference-data systems (or the ability to quickly learn complex applications).
- Familiarity with compliance controls (e.g., sanctions, anti-money laundering, regulatory checks).
- Proficient Excel skills and working knowledge of SQL for reporting and analysis.
- Experience contributing to system/process improvements and working with IT or project teams.
- Strong partner leadership skills and experience collaborating with functions such as Tax, Treasury, Finance, and business units.

The salary range for this position (intended for U.S. applicants) is $80,000 to $90,000 annually. The actual salary will vary based on applicant's education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant's geographic location.
This position is eligible to participate in one of Aon's annual incentive plans to receive an annual discretionary bonus in addition to base salary. The amount of any bonus varies and is subject to the terms and conditions of the applicable incentive plan.
