Summary
The Senior Benefits Specialist administers and ensures compliance of the organization's benefit programs, including health and welfare, retirement, paid time off (PTO), and death-related benefits. The role serves as a subject matter expert and primary point of contact for benefit vendors and partners cross-functionally with Legal, Payroll, Finance, HRIS, and Colleague Resources (CR) to deliver compliant, accurate, and colleague-focused benefit solutions.
Essential duties and responsibilities
- Administer employee benefit plans in accordance with plan documents, contracts, and applicable federal, state, and local regulations, including EBSA, ERISA and state paid leave requirements.
- Lead benefit compliance testing, reporting, and audit activities in partnership with Legal and Finance.
- Oversee the administration and ongoing compliance of the Paid Time Off (PTO) program, monitoring legislative changes and implementing required updates.
- Manage third-party vendors supporting retirement, health and welfare, and leave-related benefit programs to ensure accurate plan operation and colleague support.
- Oversee and administer all aspects of the organization's 401(k) and Deferred Compensation (DCP) plans, including coordinating and funding colleague and employer contributions in accordance with plan provisions, payroll schedules and regulatory requirements.
- Collaborate with HRIS and Payroll to design, test, and maintain benefit system files and interfaces, ensuring data integrity and plan compliance.
- Audit benefit administration systems against HRIS data to confirm accuracy, timeliness, and compliance.
- Develop and maintain benefit communications, summary plan descriptions, and digital content within the benefits and Colleague Resources sites.
- Partner with Colleague Resources (CR) to support benefit education and resolve escalated colleague issues.
- Respond to colleague benefit inquiries and escalated issues in a timely, accurate, and professional manner, ensuring resolution aligns with plan provisions, regulatory requirements, and organizational service standards.
- Manage end-to-end administration of death-related benefits, coordinating life insurance, retirement, and extended benefits with vendors and internal partners.
Education, experience, knowledge, skills and abilities
- Bachelor's degree from an accredited college or university preferred; benefits certification a plus.
- Five (5) or more years of benefits administration experience or equivalent combination of education and experience.
- Working knowledge of EBSA, ERISA, ACA, HIPAA, COBRA, and applicable federal and state regulations.
- Strong analytical, problem-solving, and communication skills.
- Ability to work collaboratively across Legal, Payroll, Finance, HRIS, and Colleague Resources.
